Events or Appointments
Manage Events or Appointments
You may schedule or add any of the following four main categories of events:

Appointment (general - i.e. with bank manager, lunches, etc.)

Repeating invoices - schedule when you need to copy / process repeating invoices.

Debtors appointment - schedule appointments with debtors / customers for specials, accounts, etc.
-
Creditors appointment - schedule appointments with creditors / suppliers for orders, accounts, etc.
- Colour coding also makes it easier to identify the category of the event, when displayed in the Calendar.
Schedule or Create Events or Appointments
To Add or Create an Event or Appointment:

Select a suitable time on the day-time view of the agenda and right-click. The following context menu is displayed:

To create a new event, select the Add Event option. The Untitled - Event screen is displayed:

Enter the subject (topic) of the appointment.

Select the category (i.e. Appointment, Repeating Invoices, Debtors Appointment or Creditors Appointment).

Select the appointment recurrence (i.e. None (default), Daily, Weekly, Monthly by Day, Monthly by Date, Yearly by Day, Yearly by Date or Custom).
- If Custom is selected, you may set the interval in the number of days.
- If the Recurrence is set to any other value than None, the Repeat
Until date will be displayed for one calendar year, e.g. 31/03/2008 if
the start date is 31/03/2007.
You may then select a date until, which the event or appointment is to be repeated. -
Enter any additional information or notes about the appointment. This will also be displayed when you edit the event or when the Reminder is displayed.

Click on the OK button to save the event or appointment.
Reminders
The Reminder screen is automatically launched at the intervals set (if the Reminder is activated).
- If the date and / or time is in the past (earlier than your system’s
date), the header OVERDUE! and the data end time of the event will be
displayed.
The options to manage the reminder of an event or appointment are:

Dismiss button - click to turn the Reminder option for the event or appointment off. You may later, at any time select the event or appointment and edit it to turn the reminder on.

Open Item button - click to edit the event or appointment.
Edit Events or Appointments
Once an event or appointment, has been added, you may then edit it, if necessary.
To Edit an Event or Appointment:

Select the event, or appointment, on the day-time view of the agenda and right-click to elect the Edit Event option.
- You may also edit the event, if you click on the Open Item button of the Reminder screen.
The Event screen for the selected event or appointment is displayed:
- The subject (topic) of the event will be displayed in the title bar
of the Event screen. If you create a new event, it will be displayed as
Untitled - Event.

Edit any of the fields you need to edit. You may also add any additional information, or edit any notes or information already added when the event or appointment was created or previously edited.

Click on the OK button.
Change the Date of an Event or Appointment
In addition to adjusting the start date and end dates, you may
reschedule the event or appointment to another time by selecting the
Change Date option on the context menu:
The event is automatically moved to the selected date.
Delete Events or Appointments
Once an event, or appointment, has been added, you may delete it, if necessary.
- If you delete an event or appointment by mistake, you need to create a new event or appointment to replace it. To Delete an Event or Appointment:

To delete the event, or appointment, simply right-click on the event or appointment, and select the Delete Event option. The following confirmation screen is displayed:

Make absolutely sure that the correct name or title for the event or appointment to be deleted, is displayed on the confirmation message.

Click on the Yes button to permanently delete the event or appointment.
