Setup Company Information - Options

This option allows you to select the Tax Method (Invoice based or Payments (Cash) based applicable to your VAT/GST/Sales Tax registration), whether your default output option for documents, reports and lists are on screen, printer, file, e-mail or fax. You may also load a logo picture to be displayed on documents (Invoices, Credit Notes, Quotes, Purchases, Supplier Returns documents and Orders) and to set your Windows™ operating system’s default date and currency formats.

To Set the Company Information - Options:

  1. Click on the Setup→System Parameters→Company Info menu option.
Keyboard Access - Keyboard Access: Press the F5 key on your keyboard. Alternatively, press the Alt+S+S+I keys on your keyboard.
The Company Information - Address screen will be displayed.
  2. Click on the Options button to set the defaults for the Set of Books. The Company Information - Options screen is displayed:
    Setup Company Info Options
  3. Select and set the following fields:
    1. Tax Method - Select the accounting basis on which you are registered for VAT/GST/Sales Tax, Invoiced based or Payments (Cash) based. Note that when you select the payments based method of tax, tax will be treated purely on a cash basis. Tax is payable to the revenue authorities only when it is received from the customer. This method requires that all Debtors and Creditors be converted to the open item account.
    2. Due Account - If the Payments Based method is selected, you will be prompted to select a due account from the Accounts lookup facility.
    3. Default Output - This option allows you to select the output device on which to send all reports generated from within your Set of Books. These are either: Screen, Printer, File, E-mail or Fax. The most convenient method is to view it on screen. You may view the contents of the report, and then select in the report options screen to send a report to any of the other available output options.
    4. Default Zoom Preview - You may set the Preview to any percentage for Reports to be viewed on the screen.
    5. Company Logo - To add the picture of your logo, you right-click with your mouse in the logo block or white space. Three (3) options become available:
      1. Clear - this will clear the current picture (if one is displayed) in this field.
      2. Load from File - the TurboCASH Load Picture screen is displayed. You may select the file and the graphic image will be inserted into the box.
      3. Paste - You may have selected and copied a picture from another document, or program, and placed it into the Windows clipboard. If you click on Paste, the picture will be placed into the box.
    6. Use Company Logo - If you select this field (tick), the selected logo as displayed in the Company logo field, will be displayed on documents (Invoices, Credit Notes, Quotes, Delivery Notes, Purchase, Supplier Returns documents and Orders).
  4. Click on the Set Windows Date Format/Style button to set the currency format, and the system date style or format. The Regional Settings Properties screen will be displayed.
  5. Click on the OK button to save your changes and to close or exit this screen.

Note - If the Regional Settings screen does not launch automatically when you click on the Set Windows Date Format/Style button, you need to click on the Regional and Language Options icon in the Control Panel of your Windows™ operating system to change or set the date format and the currency format.

Note - When you design your picture logo, you need to also include as much of your applicable contact information as is entered in the Address screen of the Setup→System Parameters→Company Info menu option. (e.g. address, town phone numbers, etc.)

It is not necessary to include your Company Registration number and VAT/GST/Sales Tax number (if you are registered in terms of any legislation or as a VAT/GST/Sales Tax vendor) in the picture logo, since it will be displayed at the bottom of any documents (Invoices, Credit Notes, Quotes, Delivery Notes, Purchase, Supplier Returns documents and Orders).
