Delete Transactions or Comments

Sometimes you may have entered a number of transactions and / or comments in a document, and you wish to delete a transaction or a comment in the Document Entry screen.

To Delete a Transaction or a Comment in a Document:

  1. Select the row or line for the transaction or comment which you wish to delete.
  2. Click on the ^D:Delete icon, or press the Ctrl+D keys on your keyboard. - The selected transaction, or comment, will be deleted or removed.

Insert Lines for Transactions or Comments

Sometimes you may have entered a number of transactions in a document, and you wish to insert a transaction or a line in a specific place in the document. You may need to do this to insert another transaction, or to insert a comment for a selected transaction.

To Insert a Line for a Transaction or a Comment in a Document:

  1. Select the row or line into which you wish to insert a transaction or enter a comment.
  2. Click on the ^N:Insert icon, or press the Ctrl+N keys on your keyboard. A new blank line or row above a selected transaction or comment line will be inserted.
  3. Enter the transaction in the inserted row, or change the inserted row to a Comment

Insert Comments

In addition to the standard messages printed on your documents as entered on the Setup→System Parameters→Documents menu option, you may need to enter a comment or remark for a specific stock item, or transaction, to be displayed on your documents.

You may change any line or row in the Document Entry screen to a comment line. This will allow you to insert a comment or remark, which will be displayed on the printed document sent to your debtors (customers) (Invoice, Credit Note, Quote and Delivery Note) or printed documents sent to your creditors (suppliers) (Purchase document, Supplier Returns document or Order).


Tip - SERIAL TRACKING - If you use this feature to enter the serial number of a Stock Item as a comment on a document, you may type the serial number in the Search For field on the Search - Investigator in the Tools→Search menu option. This will display the documents on which the serial number is entered. You may double-click on the document (search result) to display the Document in the FastReport Viewer and print it, if necessary.


To Insert a Comment in a Document:

  1. Select the row or line directly underneath the transaction for which you wish to insert a comment.
    Note - If you have any other transactions below the selected line or row, which you wish to keep, it is recommended that you click on the ^N:Insert icon, or press the Ctrl+N keys to insert a line or row before you change the selected line to a comment.
    Warning - You should note that if any information or a transaction is displayed in a selected line, that information would be lost for the selected line or row.

  2. Click on the F9:Comment icon, or press the F9 on your keyboard. The following screen is displayed directly underneath the selected stock transaction:

  3. Enter the comment for the stock item, or transaction, and click on the OK button. The comment will be transferred into the selected line or row and will display as follows on the Document Entry screen:

  4. Press the Enter key on your keyboard to proceed to the next line or row.
    Note - Although the full comment is not displayed on the comment line or row, it will be displayed as entered on the printed document (transaction section).

  5. You may proceed to enter any further transactions for the debtor or creditor. If you are finished, click on the Esc key on your keyboard to exit or close the Stock Item Lookup facility screen, and to return to the Document Selection screen.

Delete All Transactions and Comments

If you have entered transactions and / or comments in a Document Entry screen, you may wish to delete all the transactions and comments, if any, in the document.

To Delete all the Transactions and Comments:

  1. Click on the F10:Delete All icon, or press the F10 key on your keyboard. The following confirmation screen is displayed:

  2. Click on the Yes button, if you are absolutely sure. All the transactions and comments will be removed and deleted from this document.

Warning - If you have clicked on the F10:Delete All icon by accident; or if you want to delete only a few transactions and / or comments, click on the No button. You may then click on the ^D:Delete icon, or press the Ctrl+D keys, to delete only the selected lines or rows.


Important - Set Overall Discount to Zero

  1. If you have entered any overall discount for this Invoice, you need to click on the F8:Discount icon, or press the F8 button on your keyboard, to set the discount to a zero percentage. The Enter overall discount screen is displayed:

  2. Enter the zero percentage, and press the Enter key on your keyboard.
  3. You may start to enter any transactions and comments for the same document.

Documents Inclusive/Exclusive of VAT/GST/Sales Tax

You may select to change the amounts to be displayed as exclusive or exclusive of VAT/GST/Sales Tax on all documents for debtors (customers) (Invoices, Credit Notes and Quotes) and documents for creditors (suppliers) (Purchase, Supplier Returns and Orders).

The selling price amounts for debtor (customer) documents are automatically inserted in the documents when a stock item is selected.

Important - Please take note of whether these selling prices are entered or adjusted Inclusive or Exclusive of VAT/GST/Sales Tax on the Edit→Stock Items menu option, or if you adjust the selling prices in the Input→Adjust Stock (Selling Prices tab) menu option. The purchase (cost) price amounts for creditor (supplier) documents are automatically inserted in the documents when a stock item is selected.

To Set the Inclusive of VAT/GST/Sales Tax Mode:

  1. Click on the F7:Inclusive icon, or press the F7 key on your keyboard.
  2. The amount will change to the selected mode, and will be displayed in the transaction section, as well as at the bottom of the Document Entry screen.

To Set the Exclusive of VAT/GST/Sales Tax Mode:

  1. Click on the F7:Inclusive icon, or press the F7 key on your keyboard.
  2. The amount will change to the selected mode, and will be displayed in the transaction section, as well as at the bottom of the Document Entry screen.

Copy Transactions and Comments in Invoices

This feature allows you to copy the transactions and the comments, if any, entered in another document into the current document.

Note - This facility can only be used to copy from one document type to the same document type.

To Copy Transactions and Comments from a Document to another Document:

  1. Click on the F11:Copy icon, or press the F11 key on your keyboard. The following screen is displayed:

  2. Select the document number and the name of the debtor (if it is Invoices, Credit Notes or Quotes), or the document number and the name of your creditor (Purchase, Supplier Returns documents or Orders).
  3. Click on the OK button. All the transactions and comments, if any, will be copied into the current document.
