Generate Multiple Transactions

Balance Debtors with Amount

You may generate transactions for those debtor accounts, which have an outstanding balance of less than the amount you specify.

This feature may be used if you decide, for example, to write-off all debts of all the debtors who owe less than a specified amount, which are considered uneconomical to recover.

To Generate Multiple Transactions for Debtors with an Outstanding Amount less than a Specified Amount:

  1. Click on the Batch Entry icon, or click on the Input→Batch Entry menu option.
    Keyboard Access - Keyboard Access: Press the F2 key on your keyboard. Alternatively, press the Alt+I+B keys on your keyboard.
    The Batch Type Selection screen will be displayed.
  2. Select the Batch Type (except Payment and Receipt Journals, which is linked to Bank Accounts).
  3. Click on the Open button. The Batch Entry Transaction screen for the selected Batch Type is displayed:

  4. Click on the F9: Process icon, or press the F9 key on your keyboard.
    The Process the batch options screen is displayed:

  5. Select the Generate Multiple Transactions option, and click on the OK button. The Generate Multiple Transactions screen will be displayed.
  6. Select the Balance Debtors with amount option, and the screen will change to reflect the options for this option:

  7. Select and enter the following:
    1. Date for Transactions - Enter or select the date for which the transactions should be generated.
    2. Contra Account - Select the account to be debited with the generated transactions. This account may be the Bad Debts account, or any other account you specify.
    3. To debtors with a balance less than (amount) - Specify an amount for which debtors owing less than this amount should be listed in the batch.
  8. Click on the OK button. The Generate Multiple Transactions screen will automatically be closed, and the transactions for the Debtors will be imported into the selected batch. An example is as follows:

  9. Check the transactions and, if necessary, change the descriptions, etc.
  10. Click on the F5: Balance icon, or press the F5 key on your keyboard, to balance the batch.
  11. Click on the F9: Process icon, or press the F9 key on your keyboard, to change the alias (batch name).
    Note - This will help you if you wish to identify a specific batch to generate a batch type report, or if you wish to export posted batches to a file.


  12. Click on the F8: List icon, or press the F8 key on your keyboard, to list the batch.
    Note - It is a good idea to list the batch, and check the entries on the batch thoroughly. If there are any errors, you may edit the batch, before posting the batch.


  13. Click on the F6: Post icon, or press the F6 key on your keyboard, to post the batch.

T-Account View of Transactions

After posting the transaction, the T-Account View of the transactions should reflect as follows:

  1. Debtors Ledger:
    Batch T-Account Balance Debtors with Amount
    The Debtors Account is credited with the amount, which is less than the specified amount.
  2. Expenses (Contra Account}:
    Batch T-Account Balance Debtors with Amount
    The Contra Account (e.g. Bad Debts) is debited with the amount.

Scale - Debits - Expenses = Credits - Debtor’s Ledger
